RICHU field notes / Team execution

Where should your first AI workflow begin?

Choose a workflow your team can use by considering business value, frequency, data readiness and control.

Find recurring business tasks

Organising customer questions, preparing product information and assembling weekly business reviews often have clear inputs and recognisable outputs. Document the current owner, method and time involved before deciding whether AI can help. A task the team will keep using is more valuable than connecting many tools at once.

Check the reliability of your information

Output accuracy depends on source quality. Product specifications, service policies and pricing rules need sources, versions and owners. Missing fields should be flagged, not filled in by the model. A small set of high-quality material helps the team understand the system’s boundaries.

Define an acceptable output

Prepare sample inputs, acceptable outputs and exception examples for common scenarios. Decide who checks facts, approves external use and handles recovery. Build these checks into the workflow so you can assess whether AI reduces rework and reliably supports daily operations.

Let adoption inform the next step

During the trial, record adoption, reasons for rework, quality changes and maintenance effort. Expand only when the team can use and maintain the first workflow independently. Include training, update ownership and operating guides in delivery so the capability stays with the organisation.

PUT IT INTO PRACTICE

Turn reading into a bounded experiment.

Choose one task

Define the problem, owner, inputs and outputs. Do not begin with broad automation.

Set one check

Use a standard example and an exception example to verify facts and approvals against business requirements.

Make one decision

Expand when use is reliable. Pause when information or permissions are missing, and name the person responsible for resolving the gap.
